Manager & Staff Tools Guide

These tools provide a powerful “Frontend Command Center” for your team. Because these shortcodes display sensitive data (all client appointments), they are protected by strict security permissions.

⚠️ Security & Permissions

By default, these shortcodes will only be visible to users with the role of Editor or Administrator (technically, anyone with the edit_others_posts capability). If a regular client or a guest attempts to view these pages, they will see a “Permission Denied” message.

1. Manager Appointment Dashboard

This shortcode generates a dynamic, high-density list of all appointments in the system. It is the primary tool for daily operations like checking in clients or exporting data.

  • Code: [clisyc_manager_appointments]
  • Key Features:
    • Live Search: Find any appointment instantly by typing the client’s name.
    • Status Filtering: Toggle between “Upcoming,” “Past,” or “All” appointments.
    • Quick Actions: Staff can click icons to instantly update an appointment status (e.g., mark as “Checked In” or “No-Show”).
    • CSV Export: Generate a spreadsheet of the current list view with one click.
  • Attributes:
    • export: Set to “false” to hide the CSV export button.
    • search: Set to “false” to hide the search bar.
    • filters: Set to “false” to hide the status and service dropdowns.

Example: [clisyc_manager_appointments export="true"]

2. Manager Master Calendar

This shortcode provides a full-screen visual calendar of all booked appointments across your entire business.

  • Code: [clisyc_manager_calendar]
  • Key Features:
    • Multi-View: Switch between Month, Week, Day, and List views.
    • Timezone Selector: View the schedule in any major timezone. This is essential for teams managing bookings across different regions.
    • Live Clock & Region: Displays the current time in the selected zone to help avoid scheduling mistakes.
    • Quick View: Click any appointment block to navigate directly to the full detail page for that booking.

Example: [clisyc_manager_calendar]

Best Practices for Staff Tools

Creating a Staff Portal

We recommend creating a private page on your site (e.g., /staff-dashboard/) that is not linked in your main navigation. Use a layout with two sections:

  1. Top Section: Place the Master Calendar [clisyc_manager_calendar] for a visual overview of the week.
  2. Bottom Section: Place the Appointment List [clisyc_manager_appointments] for processing daily check-ins and performing searches.

Customizing Permissions

If you have a custom staff role (like “Front Desk”) and want them to access these tools without making them an Editor, you can use the clisyc_manager_view_capability PHP filter to grant them access.
